Google Workspace brings AI tools to business users

Google Workspace has integrated advanced artificial intelligence (AI) capabilities into its Business and Enterprise plans.

This update allows organizations to access generative AI tools directly within their existing subscriptions, eliminating the need for additional add-ons. The changes aim to make AI-powered solutions accessible to a broader range of businesses while streamlining productivity and collaboration.

AI for SMEs

The inclusion of AI tools in standard plans provides particular advantages for small and medium-sized enterprises (SMEs), which often face resource constraints when adopting new technologies. By incorporating AI without extra costs, SMEs can benefit from advanced tools to optimize operations, enhance efficiency, and remain competitive in fast-changing markets.

Features and capabilities

Key AI tools now available in Workspace include:

  • AI Assistance in Core Applications: Features such as automated email summarization, document drafting, and meeting notes generation are integrated into Gmail, Docs, Sheets, Meet, and other Workspace applications.
  • Gemini Advanced: A generative AI application that supports tasks like coding, data analysis, and research. It also allows users to create AI-based workflows for specialized or repetitive tasks.
  • NotebookLM Plus: An AI-driven research assistant that simplifies complex topics, generates insights, and facilitates team collaboration through customizable notebooks.

These tools are designed to help users reduce time spent on repetitive tasks, improve creativity, and manage complex projects more effectively.

Pricing adjustments

The integration of AI into standard plans has led to revised pricing structures. For example, the Workspace Business Standard plan now costs $14 per user per month, compared to the previous $32 per user per month when AI add-ons were included. Pricing changes will take effect tomorrow for new customers and on March 17, 2025, for existing customers at the time of their renewal. Small businesses using the basic Workspace plan are not subject to these pricing changes.

Security and compliance

The integration also includes measures to address concerns about data security and compliance. Key features include:

  • Data Control: AI tools adhere to existing Workspace data access permissions, ensuring only authorized data is processed.
  • Privacy Protections: Customer data is not used to train external AI models or for advertising purposes.
  • Certifications: AI tools meet industry standards, including SOC 1/2/3, ISO 27001/17/18, and HIPAA compliance.

These measures are designed to help businesses deploy AI with confidence while safeguarding sensitive information.

Trial and future developments

Businesses can explore these AI features through a no-cost trial. Additional developments and features are expected throughout 2025, further expanding the range of tools available in Workspace plans.

By incorporating AI directly into its platform, Google Workspace aims to simplify adoption and enable businesses of all sizes to leverage advanced technologies in their daily operations.
