Above Direct offshore hiring: a practical guide for Australian professional services firms. Dynamic Business

For an Australian professional services firm, adding capacity is not simply a matter of finding another pair of hands. A new team member needs to understand the work, communicate clearly and contribute to a consistent client experience.

Offshore recruitment can be part of that plan. But before comparing candidates, business owners need to understand the hiring model they are choosing: who finds the person, who manages the relationship and which costs continue after recruitment is complete.

What is direct offshore hiring?

Direct offshore hiring means a business engages an offshore team member directly, rather than accessing that person through an ongoing outsourcing arrangement. A specialist recruiter can still help find and assess candidates, while the firm makes the hiring decision and manages the working relationship.

That distinction matters. Recruitment is the process of finding the right person. Managing a distributed team is the ongoing work of setting expectations, providing feedback and supporting performance. Buying help with the first does not remove the need to invest in the second.

For accounting practices, mortgage broking businesses, consulting firms and other professional services providers, the starting point should be a defined role. Depending on the firm and the person’s experience, suitable responsibilities might include administration, document preparation, CRM maintenance, scheduling or operational support.

Compare the full cost of the hiring model

When evaluating offshore staffing options, ask providers to separate the worker’s pay from recruitment fees, ongoing service charges and any additional support costs. A monthly outsourcing fee may include services a business values, so the comparison should consider both price and what is delivered.

A direct recruitment model takes a different approach. Tarino, an offshore recruitment business, offers direct hire with a one-off placement fee of $5,000 + GST, no monthly markups and a 6-month replacement guarantee.

The placement fee is a recruitment cost, separate from the team member’s pay and the firm’s ongoing operating costs. Businesses should review the scope and conditions of the replacement guarantee when assessing the service.

For firms that want to manage their own team, separating recruitment from ongoing staffing charges can make the commercial arrangement easier to understand. The relevant question is whether the firm also has the time and systems to support the person once they start.

Define the work before searching for candidates

A useful role brief goes beyond a job title. It identifies the recurring tasks to be handled, the software involved, required working-hour overlap and the decisions that need a manager’s approval.

Start by documenting the work currently taking time away from client service or business development. Group related tasks into a coherent role, then distinguish essential skills from those that can be taught. A clear brief helps avoid hiring one person into several poorly defined jobs.

Assess candidates against real tasks

A polished CV is only one part of the assessment. Structured interviews and relevant practical exercises can help a firm understand how a candidate communicates, follows instructions and approaches the work.

For an administrative role, that might mean prioritising a sample inbox or updating a mock CRM record. For operational support, it might involve explaining how to handle an incomplete document or escalate a missed deadline. Use fictional or anonymised information in these exercises.Tarino recruits and vets candidates so the client can meet suitable applicants and make the final hiring decision. The firm should still be explicit about the standards and working style it needs.

Plan onboarding as carefully as recruitment

Before the start date, nominate a manager, prepare process guides and establish a regular feedback rhythm. Give the new team member clear priorities for the first week and measurable expectations for the first month.

Professional services firms should also decide what systems and information the role needs, how work will be reviewed and when issues must be escalated. Direct hiring works best when responsibility for these decisions is clear.

The strongest offshore hiring plan begins with the work and the management capacity behind it. A transparent recruitment fee can help a firm understand the cost of finding someone; a well-defined role and consistent onboarding help that person contribute.
